MadTown BMX currently has seven Board Member positions open for 2025-2026. If you are interested in any of the positions, please email [email protected] to put your name into consideration. All are invited to join the Organizational Meeting on Monday, November 4 at 6pm via Zoom to learn more about the positions. All Board Member nominations must be submitted by November 15, 2024. The Board will vote during a closed Board Meeting in November. First meeting with the new board will be Monday, December 2 at 6pm.

ROLES AND RESPONSIBILITIES: 

Track Operator: 
Person appointed by the USA BMX and responsible to the USA BMX for all sanctioned events. The Track Operator will also be the contact for the City, State and/or any other place where a signature is required to approve BMX racing/promotion for MadTown BMX, Inc. The Track Operator shall serve as the sole and primary communicator with USA BMX with regards to conducting official business of MadTown BMX. The Track Operator may designate other Board Member(s) to communicate with USA BMX, when appropriate. This person will have a valid contract with the USA BMX to operate the track. This position will be the second required person, in addition to the Treasurer, to sign checks.

Responsible for overseeing the function of all Board functions in accordance with USA BMX rules/regulations and the best interests of MadTown BMX, Inc., and provides support when necessary Also holds primary responsibility for USA BMX communication and administrative responsibilities.

The Track Operator commits to:

  • Follow USA BMX rules and regulations to the best of their knowledge and ability.
  • Fulfill USA BMX administrative responsibilities in an organized and timely manner.
  • Monthly/quarterly communication with the Board of Directors.
  • Promote positive relationships with the city, county, local organizations, board members, parents, and other track operators.
  • Run races and provide training when possible/necessary.
  • Oversee race registration, fundraisers, and trophy/award ordering and pickup unlessanother person is appointed to do so by the Track Operator.
  • Acts as the head track official for MadTown BMX events.
  • With the assistance of the Track Maintenance Lead and Ground Maintenance Lead, selects and trains track officials.
  • Understand the positions and functions of event operation and acts as the operator of those positions when necessary, or when the appropriate operator is not present.
  • Serves as the second signature required to sign checks on behalf of the Organization.
  • Communicate with local businesses, schools, other tracks, and parents when necessary.
  • Organization of promotional events including activities and materials.


Grounds Maintenance Lead:
Oversees general care and maintenance of the grounds.  The Grounds Maintenance Lead commits to the following:

  • Coordinate opening and closing work days and set tasks for what needs to be done on the grounds
  • Maintain mowing/weeding schedule and coordinate with team as to who will mow and when
  • Coordinate rentals of dumpster and bathrooms for year as well as special events 
  • Maintain facilities including swing set, bleachers,equipment in connex
  • Ensure electrical is functioning (lights speakers)
  • Ensure all mechanical items are functioning (compressor, gate, truck pump, mower)
  • Coordinate circus tent setup and takedown and storage

 

Track Maintenance Lead:
Oversees general care and maintenance of the track.  The Track Maintenance Lead commits to the following:

  • Coordinate opening and closing work days and set tasks for what needs to be done on the track
  • Set gluing schedule, order glue, fill water truck and coordinate volunteers for gluing days 
  • Procure extra dirt to maintain track 
  • Coordinate rental of any equipment needed to maintain track
  • Coordinate weed control on track
  • Paint and maintain lines on track
  • Maintain track throughout year including patch work 
  • Coordinate paving work 
  • Coordinate any changes/updates to the track build 

 

Secretary

  • Take minutes at board meetings and email afterwards
  • Transfer all votes and discussions from group chat to minutes for the month

 

Rider Recruitment & Retention: 
The primary role of the Rider Recruitment and Retention Lead is organizing the BMX Racing League each season. MadTown BMX typically has 2 sessions each season. Other responsiliblies include: 

  • Schedule and plan BMX Racing League (aka: Beginners League) during the BMX season. Communicate with families of the BMX Racing League. Contact families that haven’t been to the track in a while to have them return to Madtown BMX.
  • Find opportunities to promote track ( parades, expos, ect)
  • Work with scheduler to get dates on calendar for any promotion activities
  • Work with Volunteer coordinator to staff any outside promotion activities
  • Analyze track points and work with the Marketing Committee to create programs to increase points

 

Marketing Coordinator: 
Promote MadTown BMX through social media and email marketing. 

  • Primary person to post to Facebook/Instagram about events, track news, and other announcements. 
  • Uses Mailchimp to send weekly emails to MadTown email subscribers. 
  • Maintain rider email addresses in Mailchimp
  • Maintains MadTown BMX website. 
  • Serves as point of contact for all media releases. 
  • Serves contact schools and other organizations and provide flyers to promote BMX racing. 

 

Volunteer Coordinator: 
Leads up all efforts to recruit and schedule volunteers.

  • Make sure volunteer are arranged for all events including races, practices, parties etc
  • Welcome and orientate new volunteers when they arrive at the track 
  • Actively recruit volunteers when short
  • Act as a resource to new riders and parents during events
