An important new inititative we have undertaken here at Richmond BMX is to take a lot of the work that has been completed by 2-3 people and bring in several more and spread out the effort to help folks better manage their life and to ensure we can address some coming challenges and much needed organizational improvements. We dont expect to get there overnight, and they will likely change somewhat as we go on, but this is everything that it takes AWAY from the specifics of a race, clinic, practice or work day event requires.

 

We will be setting up times for folks to meet at the track and discuss these roles in more detail and start the process of transforming Richmond BMX.

 

Role Name: Track Operator

Basic Duties:

- Open/close facilities for scheduled events

- Run race, clinic, and practice events

- Organize and supervise track maintenance activities

- Order Stamps, trophies, operational, grounds and track supplies as needed

- Plan and supervise track maintenance activities

- Create major improvement project plans

- Schedule and execute major improvement project plans

- Plan, enter and manage race schedule

- Plan and execute large events

- Lead season opening preparations

 

Initiatives:

- Provide long term plan for track and facilities improvements

- Create program rider growth programs

- Identify e-payment solution and improve financial operational processes

- Plan way forward for organization operations with parent non-profit

- Create detailed organizational roles and responsibilities

- Create track sponsorship program

- Create volunteer signup, tracking and recognition programs

 

Partnerships:

- Work with volunteer leads on all activities

- Build and maintain relationships with parent non-profit board

- Maintain collaborative relationship with Parks and Rec leadership

- Grow partnership with local BMX and cycling organizations

- Continue expansion of Richmond BMX involvement in other local, regional and national organizations

 

 

Role Name: Assistant TO

Basic Duties:

in coordination with Track Operator

- Open/close facilities for scheduled events

- Run race, clinic, and practice events

- Organize and supervise track maintenance activities

 

Initiatives:

- Facilities improvements

- Understand current and research future track surface solutions

- Explore Racing League implementation

- Grow Program

Role Name: Volunteer Lead

Basic Duties:

- Manage volunteer signup process

- Track volunteer time

- Promote and recruit volunteer efforts

Initiatives:

- Create simple volunteer signup/tracking process for events

- Create volunteer recognition/reward program

- Create volunteer promotions to grow participation

Partnerships:

- Working with Track Operator on volunteer signup and tracking process ideas

- Coordinate with Track Operator/Assistant TO and Maintenance Lead on staffing track events and work days

 

 

Role Name: Treasurer

Basic Duties:

- Retrieve cash boxes

- Reset to starting tally

- Process proceeds for bank deposits

- Perform deposit activities

- Record electronic payments

- Manage track ledger

 

Initiatives:

- Research and help select electronic payment solution

- Partner with parent non-profit to improve operations

 

Partnerships:

- Working with Track Operator on operational improvement initiatives

- Collaborate with parent non-profit on financial reporting

- Work with PR Director to coordinate sponsorship and fundraising efforts


 

Role Name: PR Director

Basic Duties:

- Create and manage events on social media

- Create weekly social media content

- Execute on promotional program tasks

 

Initiatives:

- Create and implement Promotional Programs

- Create and lead track sponsorship program

- Research and implement alternative rider communication solutions

 

Partnerships:

- Coordinate with Track Operator on social media and website content

- Work with Volunteer Lead on volunteer announcements and promotions

- Work with Maintenance Lead on calls for volunteers

 

Role Name: Maintenance Lead

Basic Duties:

- Organize and lead grounds maintenance activities

- Maintain equipment

- Perform minor track repairs

- Perform/assist track prep for events

- Bike maintenance program

- Water meter monthly reading

 

Initiatives:

- Create sustainable grounds maintenance program

- Plan and install grounds improvements

- Explore paid maintenance possibilities

 

Partnerships:

- Work with Track Operator on grounds and track maintenance planning and execution

- Work with Volunteer Lead to coordinate work day planning


 

Role Name: Clerk

Basic Duties:

- Race Manager Event Setup

- Enter race event results

- Event TORF submission

- Update Race Manager Software

- Purchase Registration Supplies

- Manage pre-sign processes

 

Initiatives:

- Research and implement online signup solution and process

 

Partnerships:

- Work with Track Operator on pre-sign solution

 

 

Role Name: Concessions Lead

Basic Duties:

- Organize and run concessions for track events

- Take regular inventory of concession supplies

- Maintain equipment used for concessions

- Plan staffing of volunteers for events

 

Initiatives:

- Explore alternative solutions for hot food

- Expand selections without increasing waste

- Research services to be offered during non-event days

 

Partnerships:

- Work with Track Operator on improvements to concession options

- Work with Volunteer Lead on staffing needs for events
